How CA firms automate engagement letters without leaving Word

1 September 2026 · 3 min read

Every audit, tax audit and GST engagement should start with an engagement letter. Most firms have a good one. The problem is not the letter - it is producing it for the fortieth client of the season without a wrong PAN, a stale financial year or a fee copied from the previous file. This is a short, concrete walkthrough of how firms automate the letter with DocMold while keeping the Word document they already trust.

Step 1 - Start from your own letter

Do not rebuild the letter in a web editor. Take the .docx you use today - letterhead, fonts, numbered clauses, signature block - and upload it as-is. DocMold works inside the Word file: nothing about the layout changes, and the partner who approved the wording does not need to approve it again.

If you do not have a letter you like, the library has an Audit Engagement Letter, a Tax Audit Engagement Letter under Section 44AB and a GST Engagement Letter written to SA 210 practice.

Step 2 - Mark what changes from client to client

Open the uploaded letter in the template workbench, select the client's name, and give it a variable name - client_name. Do the same for the address, PAN, financial year and fee. Each selection becomes a highlighted variable in the document. Selecting a piece of text once is enough; DocMold replaces every occurrence.

Two catalogues on the right make this faster:

  • Client Master fields - name, address, PAN, GSTIN, contact person and more. Click the field instead of typing a variable name, and it will auto-fill from the client record at generation time.
  • My Firm fields - your firm's name, address, GSTIN, signatory. These fill from your profile, so the signature block is never typed again.

Then click Tokenize. The template is now versioned; every letter generated from it is pinned to that version.

Step 3 - Generate for a client

Choose the template, choose the client, and the form shows only what still needs a value - typically the financial year and the fee. Everything drawn from the Client Master and your firm profile is already filled in and marked as such. Preview the actual document, then download Word or PDF. The generation is logged with who did it, when, and from which template version.

For a new financial year, generate for all clients at once: upload a CSV with the client and the year-specific values and DocMold produces one letter per row, up to 500 in a batch.

What firms report changing

  • Engagement letters go out before the work starts, because producing one takes a minute rather than a slot in a partner's afternoon.
  • The wrong-PAN class of error disappears - the PAN is typed once, in the Client Master.
  • When a query arrives a year later, the exact letter issued is one click away, pinned to the version of the format in force at the time.

Beyond the engagement letter

The same template does not have to stop at engagement letters. Firms typically add the Management Representation Letter, Net Worth and Turnover certificates, Balance Confirmation requests and the NOC from Previous Auditor - all of which draw on the same client record.
